Getting Started with ElderSuite: Your First Steps
New to ElderSuite? Follow the first-week path—install, provider settings, employees, clients, attendance, then claims—with a short how-to link at each step.

This page is the first-week checklist for a new ElderSuite trial: install the software, finish provider settings, add employees and clients, record attendance, then process claims. Each step below is short on purpose—the linked how-tos carry the click-by-click detail.
ElderSuite includes a free 30-day trial; current subscription pricing is on the ElderSuite pricing page. Premium support is included at no additional cost and covers one-on-one remote training—reach us from ElderSuite Support by phone at +1 888.999.8055, email at support@eldersuite.com, or a support ticket. Documentation lives at adult day care resources.
Download and install ElderSuite
ElderSuite runs on Windows 10 or later on your own computer. Request the installer from the ElderSuite download page, open the email we send, and run the installer. New providers can start the free trial from inside ElderSuite after install.
Do not treat this page as the full installer walkthrough. For Welcome through Finish, first launch, Create Account or Authorize Device, and adding more computers, use How to Install ElderSuite.
Finish provider and billing foundations
Open Provider Center on the ElderSuite main menu and confirm your center's own record under Provider Information. The Provider Center is also where you later manage employees and device installations. For a map of every Provider Center task, see ElderSuite Provider Center Overview.
Before you enter a full client roster and daily attendance, set the foundations claims and transportation depend on. Add payers under Manage Payment Types (from Client Center or Claim Center → Related Activities) using How to Manage Payment Types in ElderSuite. Add transportation routes under Client Center → Manage Routes with How to Manage Routes in ElderSuite. Connect Availity or TMHP under Claim Center → Manage Clearing Houses with How to Manage Clearinghouses in ElderSuite. If you serve meals, also open Nutrition Center → Contractor Information and Manage Meal Times so meal settings exist before you rely on them day to day.
Add employees and set permissions
Create a login for each staff member in Provider Center → Manage Employees, then set User Name, Password, and permissions on the Manage Permissions tab. Prefer individual employee logins over sharing the account password. Permission changes take effect at the next sign-in.
Full steps are in How to Add Employees and Set Permissions in ElderSuite.
Add your clients
Most day-to-day work starts from Client Center → Client List. Use Add New Client in Related Activities to open Client Information in Add mode, then save the record when the required fields are complete.
Follow How to Add a Client in ElderSuite for the fields and save path. Assign a route on the client record when transportation applies, after routes exist.
Record attendance and transportation times
Enter each service day's pick-up and drop-off times on Attendance & Transportation Records in the Client Center. Those times are what ElderSuite uses to work units and pay amounts for claims, so accurate times matter more than retyping units later.
Use How to Record Attendance and Transportation Times in ElderSuite for the grid, date of service, and save rules.
Process claims
When attendance is in, open Claim Center and run Process Claims to build and submit the batch through your clearinghouse. Keep payment types and clearinghouse credentials current so claim amounts and uploads have what they need.
Step-by-step submission is in How to Process Claims in ElderSuite.
Book one-on-one training
One-on-one remote training is part of what ElderSuite support includes, at no additional cost with your subscription. ElderSuite Support lists phone (+1 888.999.8055), email (support@eldersuite.com), and support tickets as the ways to reach us—use those channels to schedule training. Support hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Central Time.
Still stuck after the four pre-ticket checks on that page? Open a support ticket.
Work the checklist in order, open the how-to for the step you are on, and call or email support when you want a live walkthrough.
