How to Manage Routes in ElderSuite

Open Manage Routes from the Client Center to add route names, retire unused routes, and set pickup order. Assign each client to a route on Client Information.

📝 Overview

Manage Routes is where the center keeps the transportation routes clients can ride. Open Client Center from the ElderSuite main menu and click Manage Routes in Related Activities. That opens the routes list.

Nothing is typed on the list itself. Add or change a route in the Route window. Set who is picked up first in Manage Pickup Order. Assign a client to a route on Client Information, on the Admission Info tab, in the Route dropdown.

Routes support day-to-day transportation work such as recording attendance and transportation times and scanning attendance and transportation times.

⚙ How It Works

1. Open Manage Routes

Open the Client Center and click Manage Routes in the Related Activities group. ElderSuite shows a please-wait message, then opens Manage Routes inside the main window.

For a Limited Access sign-in, the link needs the Manage Routes permission. Without it, Manage Routes is grayed out. A Full Access user can open the list without that permission.

If Manage Routes is already open, ElderSuite brings that window forward instead of opening a second copy.

2. Add or Edit a Route Name

On Manage Routes, click Add New to open the Route window for a new route. To change an existing route, highlight the row, then click Edit or double-click the row.

The Route window holds the Route Name and the Inactive check box. Type the name staff will recognize when they pick a route for a client. Route Name is required and can be up to 50 characters.

Click Save & Close when the name is ready. ElderSuite returns you to Manage Routes and updates the list. Close the Route window before you can use Manage Routes again.

3. Set Pickup Order

Highlight a route on Manage Routes, then click Manage Pickup Order. The list shows active clients already assigned to that route, with the first pickup at the top.

Click a client name, then use Move Client Up or Move Client Down to shift that client one place at a time. Only one client moves at a time. When the order is right, click Save & Close. The order is stored on the client records; the route record itself does not change.

4. Assign Clients to a Route

Open the client's Client Information record. On the Admission Info tab, in Categories & Types, choose the route in the Route dropdown, then save the client record.

Inactive routes are left out of the dropdown, except when the client is already on an inactive route. Manage Routes builds the list of routes that dropdown can use; it does not put clients on a route by itself.

5. Retire a Route You No Longer Use

Highlight the route, open it with Edit or a double-click, check Inactive, and click Save & Close. Under the default View: Active list, the route no longer appears. Choose View: All when you need to see inactive routes again.

Prefer Inactive over Delete when clients are still assigned to the route. If Delete is confirmed for a route still in use, ElderSuite shows Delete Prevented and keeps the route.

✅ Important Limitations

Manage Routes is a read-only list. Route names and the Inactive setting are changed only in the Route window. Pickup sequence is changed only in Manage Pickup Order.

Do not name a route None or All Routes. Those names are left out of the Manage Routes list in both Active and All views, so the route cannot be reopened from the list.

ElderSuite does not stop two routes from sharing the same Route Name. Choose distinct names so staff can tell them apart.

With no route highlighted, Edit does nothing and shows no message. Highlight a route before Edit or Manage Pickup Order.

Manage Pickup Order lists clients already assigned to the route. It does not add clients to the route. Assign the Route on Client Information first.

⚠ Route Name Is Required to Save

On the Route window, Save & Close needs a Route Name. If the box is blank or only spaces, ElderSuite does not save, does not show an error, and leaves the window open. Type a name, then click Save & Close again.
