Attendance & Transportation Records keeps each client's pick-up and drop-off times for one service date, making units, claims, and meal records start from the same times.
Open it from the Client Center. It shows one service date at a time. Each client is one row.
You enter the pick-up and drop-off times, and ElderSuite works out the units from those times. Units cannot be typed.
This is not the printed route sheet. Print opens Transportation Records - Form 3682, the daily sheet drivers carry. Scanning those completed sheets back in is a separate Guide.
Times can be typed, copied from each client's scheduled times with Use Scheduled Times, applied to everybody through Quick Check-In, or read from scanned attendance time logs. Whichever way they arrive, they stay on this window until Save & Close.
Open the Client Center and click Attendance & Transportation Records.
Set the Date to the service day you are recording. Changing it reloads the clients and attendance for the new day.
Leave Selected Route empty to see every client, or choose a route to work through that driver's list.
Type a time into a cell, or pick it from the dropdown clock. ElderSuite works out the Units from those times. Units cannot be typed.
The first Pick Up and the last Drop Off are the day's start and end. Use the two middle times when a client left during the day and came back.
To fill a day without typing every cell, click Use Scheduled Times to copy each client's scheduled times for that weekday, or click Quick Check-In to give every client on screen the same four times. ElderSuite asks before Use Scheduled Times overwrites what is already there. Either action skips a client whose attendance has already been claimed.
Invalid or unpaired times do not become attendance.
Click Save & Close to store the day's attendance. Until you click Save & Close, the times have not been stored in ElderSuite.
If Scrub Claims or Meal Records are open, they are brought up to date so they show the same figures.
Print opens Transportation Records - Form 3682 so the route sheets can be produced. Scanning those completed sheets back in is a separate Guide.
Units cannot be typed. ElderSuite works them out from the pick-up and drop-off times.
Invalid or unpaired times do not become attendance.
A row whose attendance is no longer Pending cannot be changed here.
Use Scheduled Times works for Monday through Friday only.
A row with none of the four times is a day not attended. A blank row is valid — it means the client was not here.
If a row looks filled in but never becomes attendance, the four times do not pair. The first Pick Up and the last Drop Off go together. The two middle times go together, and neither can stand without the outer pair around them.
Turn Time Validation on so ElderSuite marks the row and asks whether to correct the times. With Time Validation off, nothing is marked. Invalid times simply do not become attendance.
After the times are right, click Save & Close to store the day.
