ElderSuite Provider Center Overview

Open the Provider Center for your center's own record, staff logins, and Texas helpful links—and follow the paths to payment types and clearinghouses when you set up billing.

The Provider Center is ElderSuite's launch screen for everything about your adult day care center itself—not individual clients. Use this map to update provider information and account credentials here, open staff and Texas helpful-link tasks from the same screen, and follow the linked how-tos for employees, payment types, clearinghouses, and username or password changes.

Sign in, then click Provider Center on the ElderSuite main menu bar. ElderSuite is organized into seven Centers in this order: Provider Center, Client Center, Nursing Center, Nutrition Center, Claim Center, Report Center, and Help Center. The Provider Center holds five activity buttons—Provider Information, Manage Provider Documents, Manage Employees, Criminal History Check, and Manage Device Installations—plus Related Activities for fire drills and, for Texas providers, Helpful Links. Update provider information

Provider Information is the center's own record: contact details, physical and mailing addresses, and the read-only identifiers claims and printed forms use.

  1. Open Provider Center from the ElderSuite main menu.
  2. Click Provider Information. A please-wait message appears while the window opens.
  3. On the Provider Information tab, update Provider Name, Contact Name, Phone, Fax, or E-Mail Address in the Contact Information group as needed.
  4. To change the street address after a move, edit Address Line 1 (and Address Line 2 if you have a suite) in the Physical Address group, then city, state, and zip. Click >> Copy >> if the mailing address matches the physical address, and answer Yes if ElderSuite asks whether to overwrite an existing mailing address.
  5. Click Save & Close on the toolbar.

ElderSuite saves the record, refreshes the Current Provider line in the main-window status bar, and returns you to the Provider Center. National Provider ID, State Provider ID, Federal Tax ID, and Federal Tax ID Type are read-only—contact MicroSolutions through ElderSuite Support if those identifiers need a correction. The read-only ElderSuite Account ID on this window is the account number you copy when authorizing another computer; it is not where you change the account password.

Change account username or password

Account credentials (the Full Access provider login) live on the account administrator's employee record—not on Provider Information. Only the account administrator can change them. Changing the username or password does not deauthorize computers that are already set up.

  1. Sign in as the account administrator.
  2. Open Provider Center and click Manage Employees.
  3. Select the row marked Administrator and click Edit, or double-click the row.
  4. Open the Manage Permissions tab, then the User Login Info sub-tab.
  5. Enter the new User Name, the new Password, and the same password again in Confirm Password.
  6. Click Save & Close.

ElderSuite confirms the change. Use the new values at the next Full Access sign-in and when the administrator authorizes a new computer. Staff who sign in with their own employee logins are unaffected. Add employees and set permissions

Manage Employees is where you add staff, give each person a unique User Name and Password, and grant Limited Access permissions so buttons match their job. Prefer individual employee logins over sharing the account password. Open Provider Center, click Manage Employees, then add or edit a row and use Manage Permissions for Center access. Manage payment types

Payment types are the payer and rate definitions your clients and claims use. They are not opened from a Provider Center button. Open Claim Center or Client Center, then click Manage Payment Types in Related Activities. Keep rates and units current before you enter attendance that drives billing. Manage clearinghouses

Clearinghouses are the claim submission routes (such as Availity or TMHP) your center uses. ElderSuite opens that list only from the Claim Center: open Claim Center, then click Manage Clearing Houses in Related Activities. The Provider Center has no clearinghouse button. Open the TULIP link (Texas providers)

For Texas providers, Helpful Links on the Provider Center includes TULIP - Online Licensure Application System. Click it and the Texas Health and Human Services TULIP online licensure page opens in your computer's default web browser, outside ElderSuite. ElderSuite does not run TULIP inside the product and does not store TULIP login data. The link is shown for Texas providers only. Other Provider Center tasks

These buttons stay on the Provider Center map even when you are not changing credentials or billing setup:

  • Manage Provider Documents — upload or scan provider-level files such as licenses and insurance certificates.
  • Manage Device Installations — see which computers are authorized and deauthorize a machine you no longer use (from a different computer if that machine is the one you are signed in on).
  • Criminal History Check — opens your state's official criminal-history website in the default browser; ElderSuite does not run the check or store the result.
  • Monthly Fire Drill Assessments under Related Activities — opens the fire drill report list for Form 4719 work.

When a Limited Access user sees a grayed-out Provider Center button, grant the matching permission on that employee's record and have them sign out and back in. Full Access (account credentials) keeps the activity buttons available.
