How to View and Print Billing Reports in ElderSuite

Download Availity or TMHP response files from Claim Center → View Reports, learn what each report type answers (EBT, IBT, 277, DPR, ERA/835), and print them. Reconcile claims from the same files.

This article shows how to download the billing reports ElderSuite lists after claims are submitted, what each file answers, and how to filter and print them. Open them from Claim CenterView Reports—not from Report Center, which is where attendance and absence printouts live.

Open Billing Reports and download files

  1. Open Claim Center from the ElderSuite main menu.
  2. Click View Reports. The Billing Reports list opens. For a Limited Access sign-in, this button needs the View Reports permission.
  3. Click Download Reports.
  4. In Select Clearing House, highlight Availity or TMHP and click Continue.

ElderSuite signs in with the stored clearinghouse credentials and adds every waiting file to the list with File Name, Date Downloaded, and Size. Highlight a row and click View Report, or double-click the row.

Electronic Batch Report (EBT)

An Electronic Batch Report answers whether the clearinghouse accepted the claims in that batch. It can show accepted and rejected totals, payer name and payer ID, and—when claim detail is present—rows with Service Date, Patient Name, Insured ID, Claim Number, Status, and Next Step. Accepted on an EBT is clearinghouse review, not payment. A summary-only EBT opens as formatted text; a file with claim rows opens in the detail viewer.

Immediate Batch Text Response (IBT)

An Immediate Batch Text Response answers whether Availity accepted or rejected claims right after the batch was sent, before the payer's own review. When the file has claim rows it opens in the detail viewer; otherwise it opens as formatted text with Print and Close.

Claim Status (277 / 277CA)

A 277 / 277CA file answers whether the payer accepted each claim for adjudication. The detail viewer can show Service Date, Patient Name, Insured ID, Payer Control Number, Claim Number, Reference Code, Amount Billed, Status, Status Details, and Next Step. Accepted means the claim entered adjudication—not that it was approved or paid. For a rejection, read the details, correct the claim, set it back to Pending, and resubmit. Other 277-named files ElderSuite recognizes use the same claim-status layout.

Delayed Payer Report (DPR)

A Delayed Payer Report answers whether the payer has the claim and has not decided yet. The viewer title names the type and clearing house, for example Delayed Payer Report (DPR) - Availity. A .DPT file uses the same delayed-payer layout. Do not treat a delayed claim as a rejection, and do not resubmit it unless a later report actually rejects it. Follow up with the payer if it stays unresolved.

Electronic Remittance Advice (ERA/835)

An Electronic Remittance Advice answers what the payer paid, denied, or adjusted. The viewer title looks like Electronic Remittance Advice (ERA/835) - TMHP. This is the report that carries payment amounts, Claim Number, Amount Billed, Amount Paid, Status, Adjustment Reason, and check or EFT information when the file includes it. Open it when you need the payer's payment decision. Double-click a row that has Insured ID and Service Date to open the matching claim.

Batch ID File

A Batch ID file has no report pages. Opening it shows a message with the batch identifier and the TMHP contact number. Note that ID before you call the clearinghouse about claims in the batch.

Filter the list and print

On the Billing Reports list, type in the filter row under File Name, Description, Date Downloaded, or Size. Click a column header to sort. There is no Filter by Payer control on this list; choose Availity or TMHP at download time, then filter Date Downloaded or the file name.

Inside a detail report, type in the filter row under the column headers—Service Date, Patient Name, Status, and any other columns that layout shows. The filter description strip at the bottom shows what is applied and lets you clear it. Totals follow the filtered rows. To print from the detail viewer:

  1. Filter or sort the list on screen until it shows what you need.
  2. Click Print on the toolbar (Close, Print, then Auto Reconcile).
  3. Choose a printer. There is no print preview. Pages print landscape.

The formatted-text viewer has Close and Print only. Neither viewer exports the report to a file; Print is the way to take a copy. A PDF file opens in the Report Viewer with the print name Billing Report - plus the file name.

The EOB Code List is missing

If a claim status code in a text report has no plain-language explanation, ElderSuite may show The EOB Code List is missing. Please try re-installing ElderSuite. That list is not a billing report. Troubleshooting

  1. View Reports is unavailable. A Limited Access user needs the View Reports permission. Ask an administrator to turn it on, then sign out and back in.
  2. The report does not open. If you see This file was Not found on the ElderSuite Document Server Or your local system., try Download Reports again. If you see It appears that the files did not load successfully. Re-load the Billing Reports Screen., reopen Billing Reports from Claim Center.
  3. I cannot find Export. There is no export command on the viewer. Use Print.
  4. A code says Unknown — contact the clearing house. The code is not in ElderSuite's explanation list. Contact Availity or TMHP about that code; it is not the missing-list message.
  5. Need help finding a screen. Use ElderSuite Support (+1 888.999.8055, support@eldersuite.com).

Still stuck? Open a support ticket. Include the file name, the clearing house (Availity or TMHP), and the exact on-screen message.
