📝 Overview
Print by Date Range builds one combined printout of every Form 3050 Health Assessment dated in a span you choose, for every client, sorted by client name. You set a From date and a To date, click Preview, and ElderSuite opens the finished pages in the Report Viewer so you can print them in one job. The window only reads your assessments. Nothing on those records is saved, changed, or deleted by the run, including any Print Later flag.
Each assessment in the range produces a completed Form 3050—the Health Assessment and Individual Service Plan—joined into one document. For completing an assessment, printing a single record, or working with Print Later, see Health Assessment & Service Plan - Form 3050. This date-range print is a different report from Monthly Nursing Assessment (Form ES3500). For that batch print, see How to Print Monthly Nursing Assessments by Date Range in ElderSuite.
⚙ How It Works
Open Print by Date Range
There are two ways into the same list, and both produce the same printout. From the Nursing Center, click Health Assessment & Service Plans. Or open the Report Center, go to the Nursing Reports tab, and choose Health Assessment & Individual Service Plan - Form 3050 (use View Report or double-click the entry). Either path opens the Health Assessment List. See the ElderSuite Nursing Center Overview and the ElderSuite Report Center Overview for those screens.
On the list, stay on the Assessments tab so the toolbar Print button is available. On the Recurring Assessments tab or the Sign & Sync Documents tab, Print is grayed out. Click Print and choose Print by Date Range, the third menu entry, below Selected Record and 'Print Later' Records. The window opens on top of the list and has to be closed before you can use the list again. No client or assessment needs to be selected first—this window gathers records only by date.
Set the From and To Dates
Both fields open on today’s date. From is the first day of the span; To is the last. Assessments dated on or after From and on or before To are included, for every client, including inactive clients. The client or assessment highlighted on the list does not change what prints.
Set both fields to the same day when you want that day’s assessments alone. For a full month, set From to the first day and To to the last day. The span can be as many as 31 days. A longer period has to be printed as several separate batches, each producing its own combined document. Neither field accepts a blank value.
If From is later than To, Preview stops with “Start date must be before or equal to end date.” If the span is longer than 31 days, it stops with “Date range cannot exceed 31 days. Please select a smaller date range.” In both cases the window stays open so you can correct the dates and try again.
Preview the Combined Document
Click Preview. A please-wait indicator appears, and Preview and Cancel are grayed out while the run is working so the job cannot be started twice. ElderSuite gathers every matching assessment across all clients, fills a completed Form 3050 for each one—every section, the medications, the notes, and the assessment date—joins them into a single document sorted alphabetically by client name, and opens that document in the Report Viewer. Sorting follows client name, not assessment date, even though you chose the span by date. The Print by Date Range window then closes, returning you to the list. Print from the Report Viewer. See How to Use the Report Viewer in ElderSuite.
Preview itself does not send anything to a printer. It builds the combined document and leaves printing to the Report Viewer. Each filled page is locked before it is added, so the values cannot be typed over there. Medications on the printout are the client’s current list at the time of printing, not a snapshot from the assessment date. If your printout shows only the identification details, update ElderSuite on that computer and print the range again.
To leave without building anything, click Cancel.
When No Records Are Found
If no Health Assessment falls in the chosen span, ElderSuite shows “There were no records found for the selected date range.” Nothing is produced and the Report Viewer does not open. After you acknowledge the message, the window closes and you are back on the list. Check which dates have assessments recorded, reopen Print by Date Range, and choose a range that covers them.
When You Need Print Later Instead
Print by Date Range selects assessments only by their assessment date. It ignores the Print Later flag and does not clear it. If you want the batch already marked Print Later, choose 'Print Later' Records from the same Print menu. That opens Health Assessment - Print Confirmation, where you pick All Clients or Selected Client. That run clears Print Later on what it prints. Completing assessments, printing a selected record, and Print Later basics are covered in Health Assessment & Service Plan - Form 3050.
⚠ Date-Range Print Leaves Print Later Alone
Print by Date Range only reads assessment information. It does not save, change, or delete anything on the assessments themselves, so Print Later flags stay exactly as they were after the combined document opens. Use 'Print Later' Records when you need those flags cleared as part of the print, or Selected Record when you want a single assessment printed with its Print Later flag cleared.
