Which Scanners Work with ElderSuite

📝 Overview

ElderSuite scans from almost any scanner that Windows can see, whether it is connected by USB or shared on the office network. The one-sentence rule:

If the built-in Windows Scan app can see your scanner, ElderSuite can scan from it.

⚙ How It Works

1. Choose a Sheet-Fed Document Scanner for Regular Scanning

For a center that scans regularly, and for any center planning to use Scan Times or Scan Meals, choose a sheet-fed document scanner with an automatic document feeder from one of these families:

• Epson DS series
• Canon DR series
• Brother ADS series
• Fujitsu fi series (not ScanSnap)

Look for a feeder that holds a stack of pages, two-sided (duplex) scanning, letter-size paper, and a USB connection. Scanners in this class typically cost a few hundred dollars and come with drivers that the manufacturer keeps up to date.

A multifunction printer that also scans works with ElderSuite, but treat it as workable rather than ideal. Its scanning software is usually an add-on to the printer, and it is where most scanning problems come from.

2. Know the Scanner Family That Cannot Be Used

The Fujitsu / Ricoh ScanSnap family (iX1600, iX1400, iX1300, iX500, S1300, and similar) is designed to work only with its own ScanSnap Home software. It offers no connection that any other program can use, so it will never appear in ElderSuite's scanner list on any computer.

If the center already owns a ScanSnap, staff can still scan a document to PDF with ScanSnap Home and attach the file through Local Files on Client Documents, Employee Documents, or Provider Documents. Scan Times and Scan Meals cannot be used with a ScanSnap, because those features read pages straight from the scanner and have no file option.

Fujitsu's fi series document scanners are fully compatible. The limitation is specific to the ScanSnap product line, not to the manufacturer.

3. How ElderSuite Finds Scanners

When the ElderSuite Scan Manager opens, it searches for scanners every way Windows offers, all at once. The list reads Searching for scanners... for a few seconds, then shows one entry per scanner. If the search finds nothing, the list reads No scanners found.

One physical scanner is often reachable more than one way. A network multifunction printer, for example, can be reached through its installed Windows software, through its older TWAIN driver, and directly over the network with nothing installed. ElderSuite folds those into a single entry and chooses the most reliable connection itself, so staff normally never need to think about it.

To see the individual connections, check Show connection types. The list then shows one entry per connection, labeled by how it connects:

• Scanner name (Windows) — the scanner's installed Windows driver (WIA)
• Scanner name (Network) — driverless scanning over the network, with nothing installed
• Scanner name with no label — the scanner's TWAIN driver

ElderSuite remembers whichever entry is picked, in either view.

4. Fix Common Scanner-List Problems

The feeder takes every page but only one page comes back. On some multifunction printers the TWAIN driver pulls the whole stack through the feeder and returns a single page, with no error. That is a defect in the printer's driver, not in ElderSuite or the scanner. Check Show connection types, choose the same scanner's (Windows) or (Network) entry, reload the pages, and scan again. ElderSuite remembers the choice, so this is a once-per-computer correction.

A scanner is listed that is not connected. TWAIN entries come from installed driver software, not from detecting the scanner itself. Some manufacturers register a generic name whether or not a scanner is attached. Picking it simply fails to scan. The (Windows) and (Network) entries appear only for scanners that are actually present.

The scanner is not listed. Make sure the scanner's software is installed, the scanner is turned on and connected, then close and reopen the Scan Manager so the search runs again. If it is a network scanner, see Why Windows Asks to Let ElderSuite Through the Firewall When You Scan.

The scanner is connected to a different computer. A scanner attached by USB to another computer is never listed. Scanning happens on the computer you are sitting at. A network scanner can be used from any computer on the same network.

The scanner reports an error. Check Show Scanner Settings to use the scanner's own settings window, or install the manufacturer's current software. Most scanner errors are cleared by an updated driver.

5. Use Duplex and the Right Resolution

ElderSuite supports two-sided scanning. Check Document Feeder and Double-Sided Scan in the Scan Manager when the scanner has a duplex feeder.

The Scan Manager's default of 150 dpi is right for documents. Scan Times and Scan Meals lock the resolution at 300 dpi on their own, because they read handwriting.

✅ Important Limitations

Only the scanner's own software needs to be installed, if it has any. Most network scanners and multifunction printers made in the last few years can be used with nothing installed at all.

Two computers can share one scanner when it is a network scanner. A USB scanner belongs to the computer it is plugged into.

ScanSnap devices never appear in the Scan Manager list. PDF attach through Local Files still works for document areas; Scan Times and Scan Meals do not.

⚠ ScanSnap Will Never Appear in the Scanner List

The Fujitsu / Ricoh ScanSnap family works only with ScanSnap Home. It will never appear in ElderSuite's scanner list on any computer.

Use ScanSnap Home to make a PDF, then attach it with Local Files on the matching documents window — or choose a sheet-fed document scanner from the DS, DR, ADS, or fi families for direct scanning, including Scan Times and Scan Meals.
