Scan signed forms, intake packets, licenses, and more right into ElderSuite. Client Documents, Employee Documents, and Provider Documents each have a destination that is searchable and easy for the next person to find without the cabinet.

ElderSuite Document Management keeps important files with the records they belong to, making them easy to find and open from any computer running ElderSuite.
Use the document area that matches the type of file:
Client Documents — signed forms, assessments, intake paperwork, and other documents belonging to a client
Employee Documents — licenses, certifications, and other employee records
Provider Documents — licenses, agreements, and other documents belonging to the center
You can scan documents directly into ElderSuite or attach PDF files already saved on your computer.
The ElderSuite Scan Manager is used to scan documents into all three areas. It is the scanning tool—not a separate document-storage location.
For a client or employee, open the appropriate record and click Manage Documents.
For documents belonging to the center, open Provider Center and click Manage Provider Documents.
Each document list belongs only to the record from which it was opened. The list displays the document’s Title, Description, Date Added, and Size.
Use Find to search the list. To open a document, select it and click View, or double-click it.
Click Scanner to open the ElderSuite Scan Manager. It automatically uses the document destination from which you opened it. Scan the pages you want to add.
To attach a PDF already saved on the computer, click Local Files and select the file.
ElderSuite will ask you to enter a Title and Description. Always enter a clear Title so other users can easily identify and find the document.
The document will appear as a new row in the list, but it has not yet been stored in ElderSuite.
Click Save & Close to transfer the new document and store it with the selected client, employee, or provider record.
Until you click Save & Close, the document has not been stored in ElderSuite.
If you click Delete, ElderSuite will ask for confirmation before removing the document from the list. A previously stored document is not permanently removed until you click Save & Close.
Local Files accepts PDF files only.
A PDF without a Title will not be added to the document list.
In Client Documents, a scanned document without a Title will not be added.
Attendance time logs and meal count logs must be scanned from their corresponding records—not from Client Documents, Employee Documents, or Provider Documents.
Client Documents cannot be used to store employee or provider files.
Employee Documents cannot be used to store client or provider files.
Provider Documents should not be used for client charts or employee records.
Always choose the document area that matches the file you are adding.
Every document should have a clear, descriptive Title.
Without a Title, an attached PDF will not remain on the list. This applies to Client Documents, Employee Documents, and Provider Documents. In Client Documents, the same rule also applies to scanned documents.
After entering the Title, click Save & Close to store the document.
When you scan or attach a document, ElderSuite first creates a working copy on the computer.
Clicking Save & Close transfers the document and stores it with the appropriate record. Until you save, the new document has not been stored in ElderSuite.
