How to Use eTAR in ElderSuite

Open eTAR from the Nursing Center, record each treatment as it is done, then print the monthly TAR. Entries write immediately. Use Undo when a treatment needs to be recorded again.

📝 Overview

eTAR is ElderSuite's electronic Treatment Administration Record. Open it from the Nursing Center to see whose treatments are due, record what was done or not done, and print the monthly TAR from those records.

The window has three tabs: Treatment Pass, By Client, and TAR. Opening eTAR from the Nursing Center starts on Treatment Pass. Opening Treatment Administration Record - eTAR (Monthly) from Report CenterNursing Reports starts on TAR.

eTAR reads the treatments already stored under Nursing CenterTreatments. It does not keep a treatment list of its own. Each recorded treatment is written as soon as it is entered. There is no Save button on this window.

Add and schedule the treatments first. How to Add Client Treatments in ElderSuite covers that record and the weekly paper Treatment Administration Record - Form ES4020. That weekly form remains available. It is a separate printout from the monthly eTAR.

eTAR works like eMAR with treatment wording: ✓ Done and ✗ Not done in place of given and not given, Treatment Pass in place of Med Pass, and TAR in place of MAR. Treatments have no dose, no witness prompt, and no controlled-substance marking.

⚙ How It Works

1. Open eTAR

Open the Nursing Center and click eTAR.

For a Limited Access sign-in, eTAR requires View eTAR or Record Treatment Administrations (eTAR). One of the two is enough to open the window. Without either, the button is unavailable. Permissions are read at sign-in, so sign out and back in after a permission is granted.

View eTAR alone lets the employee open eTAR and print. Recording a treatment also requires Record Treatment Administrations (eTAR), May Administer Medications and Treatments, and a License Expires date that has not passed. When recording is blocked, the reason appears in red under the client's name on By Client, and the recording buttons are hidden.

2. Work the Treatment Pass

Treatment Pass is the day's queue for the whole center. Clients with overdue or due treatments sort to the top.

Click Record ▸ on a client row, or double-click the row, to open that client's treatment cards on By Client. Record the due treatments, then return to Treatment Pass for the next client. When that client's day is complete, the queue button reads View instead of Record ▸.

If Attending Today shows an empty list, no arrival times have been recorded for the service date yet. Switch View above the client list to Active Clients or All Clients. Missing arrival times do not stop you from recording a treatment on the current day. After the day has ended, a missing arrival can show as absent on the monthly TAR for treatments that were never recorded. Attendance does not change a treatment that was already recorded.

3. Record a Treatment

On By Client, select the client. The day's cards sit under To do, Incomplete, and Completed.

For a scheduled treatment, click ✓ Done when the treatment was completed, or ✗ Not done when it was not. ✓ Done writes the entry immediately, with the signed-in employee's name, initials, and credential. Each entry is saved when it is recorded and includes that the client's identity was checked. ✗ Not done opens Treatment Not Done to record why.

If the treatment order has Ask for a result when marked done selected, ✓ Done opens a Result Required prompt for the reading or observation before anything is stored. Leaving the result blank or canceling records nothing. A done card that still has no result carries an Add result link so the reading can be added later.

For an as-needed treatment marked PRN (as needed) on the treatment record, use Record PRN... on that card or + Add PRN.

A treatment appears on eTAR when Include on Treatment Sheet is selected on the treatment, the record is active and inside its start and stop dates, and either at least one administration time is filled in or PRN (as needed) is selected. Frequency text does not create scheduled treatments on eTAR.

If none of the client's treatments are included, By Client shows No treatments on the TAR for this client. A treatment with no administration times and without PRN (as needed) shows as a grey card telling you to open the treatment and set Administration Time 1 through Administration Time 5, or select PRN.

4. Print the Monthly TAR

Open the TAR tab. Choose the client and the month. Use < and > beside the month label to move back a month or forward to the current month. A future month is not available.

Click Print TAR for that client's month. If there is nothing on the TAR for that month, ElderSuite reports that and prints nothing.

Click Print All Clients for every active client's TAR for the month, joined into one document. Clients with nothing on the TAR that month are skipped.

Both open in the Report Viewer. The printed TAR includes a legend of code letters, a signature key that matches initials to the person who recorded them, and a Results recorded this month block when results were entered.

✅ Important Limitations

eTAR has no Save button. Each entry is stored when it is recorded.

Frequency on the treatment does not create eTAR schedule times. Set Administration Time 1 through Administration Time 5, or select PRN (as needed).

Treatments have no dose, no witness prompt, and no controlled-substance marking on eTAR.

Letters for absent, left early, or missed on a past day (A, L, and M) are derived from attendance when nothing was recorded. Staff do not enter those letters.

⚠ A Recorded Treatment Cannot Be Edited

Once a treatment is recorded, that entry cannot be changed or deleted. Click Undo on the treatment card. ElderSuite keeps the original marked void, with your name and the reason, and makes the treatment due again so it can be recorded correctly.

A reason entered for ✗ Not done or Undo prints on the TAR. The one addition allowed after a done entry is a result through Add result, when the order asks for one and none was stored yet.
