How to Use eMAR in ElderSuite

Open eMAR from the Nursing Center, record each dose as it is given, then print the monthly MAR. Entries write immediately. Use Undo when a dose needs to be recorded again.

πŸ“ Overview

eMAR is ElderSuite's electronic Medication Administration Record. Open it from the Nursing Center to see whose doses are due, record what was given or not given, and print the monthly MAR from those records.

The window has three tabs: Med Pass, By Client, and MAR. Opening eMAR from the Nursing Center starts on Med Pass. Opening Medication Administration Record - eMAR (Monthly) from Report Center β†’ Nursing Reports starts on MAR.

eMAR reads the medications already stored under Nursing Center β†’ Medications. It does not keep a medication list of its own. Each recorded dose is written as soon as it is entered. There is no Save button on this window.

βš™ How It Works

1. Open eMAR

Open the Nursing Center and click eMAR.

For a Limited Access sign-in, eMAR requires View eMAR or Record Medication Administrations (eMAR). One of the two is enough to open the window. Without either, the button is unavailable. Permissions are read at sign-in, so sign out and back in after a permission is granted.

View eMAR alone lets the employee open eMAR and print. Recording a dose also requires Record Medication Administrations (eMAR), May Administer Medications, and a License Expires date that has not passed. When recording is blocked, the reason appears in red under the client's name on By Client, and the recording buttons are hidden.

2. Work the Med Pass

Med Pass is the day's queue for the whole center. Clients with overdue or due doses sort to the top.

Click Record β–Έ on a client row, or double-click the row, to open that client's dose cards on By Client. Record the due doses, then return to Med Pass for the next client. When that client's day is complete, the queue button reads View instead of Record β–Έ.

If Attending Today shows an empty list, no arrival times have been recorded for the service date yet. Switch View above the client list to Active Clients or All Clients. Missing arrival times do not stop you from recording a dose on the current day. After the day has ended, a missing arrival can show as absent on the monthly MAR for doses that were never recorded. Attendance does not change a dose that was already recorded.

3. Record a Dose

On By Client, select the client. The day's cards sit under To do, Incomplete, and Completed.

For a scheduled dose, click βœ“ Given when the dose was administered, or βœ— Not given when it was not. βœ“ Given writes the entry immediately, with the signed-in employee's name, initials, and credential. Each entry is saved when it is recorded and includes that the client's identity was checked. βœ— Not given opens a window to record why.

For an as-needed medication marked PRN (as needed) on the medication record, use Give PRN on that card or + Add PRN.

If the medication requires a witness, ElderSuite asks for the witness's name with the message This medication requires a witness. Β Enter the witness's name: Leaving the name blank or canceling writes nothing.

A medication appears on eMAR when Include on Medication Adminstration Record is selected on the medication, the record is active and inside its start and stop dates, and either at least one administration time is filled in or PRN (as needed) is selected. Frequency text such as BID does not create doses.

If none of the client's medications are included, By Client shows No medications on the MAR for this client. A medication with no administration times and without PRN (as needed) shows as a grey card: No administration times on the order - open the medication and set Administration Time 1-5, or tick PRN.

4. Print the Monthly MAR

Open the MAR tab. Choose the client and the month. Use < and > beside the month label to move back a month or forward to the current month. A future month is not available.

Click Print MAR for that client's month. If there is nothing on the MAR for that month, ElderSuite reports that and prints nothing.

Click Print All Clients for every active client's MAR for the month, joined into one document. Clients with nothing on the MAR that month are skipped.

Both open in the Report Viewer. The printed MAR includes a legend of code letters and a signature key that matches initials to the person who recorded them.

βœ… Important Limitations

eMAR has no Save button. Each entry is stored when it is recorded.

Frequency on the medication does not create eMAR doses. Set Administration Time 1 through Administration Time 5, or select PRN (as needed).

Letters for absent, left early, or missed on a past day (A, L, and M) are derived from attendance when nothing was recorded. Staff do not enter those letters.

⚠ A Recorded Dose Cannot Be Edited

Once a dose is recorded, that entry cannot be changed or deleted. Click Undo on the dose card. ElderSuite keeps the original marked void, with your name and the reason, and makes the dose due again so it can be recorded correctly.

A reason entered for βœ— Not given or Undo prints on the MAR.
