How Much Does Adult Day Care Software Cost?

What the $299 subscription includes

Every ElderSuite subscription includes:

• all ElderSuite features
• unlimited users
• unlimited workstations
• training
• ongoing support
• software upgrades

There are no setup fees, per-user fees, or separate upgrade charges, and ElderSuite does not require a long-term service contract.

One subscription covers one provider location

One subscription covers one physical provider location. The center can authorize unlimited workstations for that subscription, including computers used for remote, home-office, or central-billing work.

Each additional physical provider location requires its own ElderSuite subscription.

The Lock-In Rate

The monthly rate selected when a subscription begins becomes that subscription's Lock-In Rate. The rate remains in effect while the subscription stays active.

If a subscription is canceled and a new subscription is opened later, the rate available at that time applies to the new subscription.

What the subscription provides operationally

ElderSuite is a Windows desktop application designed around adult day care operations. Attendance, transportation, meals, client records, nursing records, reports, insurance billing, document management, and the rest of ElderSuite's features are included in the same subscription rather than sold as separate feature tiers.

In the billing workflow, saving Attendance & Transportation Records creates the associated Pending claim. ElderSuite calculates units from the recorded times and the client's Payment Type, and billing staff can adjust the calculated Units value when editing an eligible claim from Scrub Claims.

Electronic claim submission supports Availity and TMHP. Credentials, payer enrollment, and any fees charged by outside clearinghouses or other third-party services are separate from the ElderSuite subscription.

What is not included in the $299 rate

The ElderSuite subscription does not include fees charged by outside services such as clearinghouses, payers, internet providers, or remote-access vendors.

ElderSuite also does not process private-pay credit cards or ACH transactions, so payment-processing services and their fees are outside the ElderSuite subscription.

Data export is included, but the exports are specific

ElderSuite provides two CSV data exports: Export Client Records and Export Claims. Other records use their own report, print, save, or document workflows.

During the 30-day trial, test the workflows the center actually needs: client setup, attendance, transportation, nursing, meals, reports, claims, permissions, and document handling.
