How Much Does Adult Day Care Software Cost?

What the published $299 rate includes

The current pricing page states that the subscription includes:

  • all ElderSuite features
  • unlimited users
  • unlimited workstations
  • training
  • ongoing support
  • software upgrades

The page also states there are no setup fees, per-user fees, upgrade charges, or long-term contracts.

One subscription covers one provider location

The published rate covers one facility — one provider location. Remote, home-office, and central-billing workstations can be authorized for that subscription without an additional workstation charge.

An additional physical provider location requires its own subscription. Confirm the rate in effect when that location is added rather than assuming an old price will still apply.

The Lock-In Rate

ElderSuite’s pricing page states that the monthly rate at signup becomes the subscription’s Lock-In Rate and does not increase while that subscription remains active.

The live page does not promise that a canceled subscription can later return at the old rate, so do not infer that from the lock-in policy.

What the subscription buys operationally

ElderSuite is a Windows desktop application designed around adult day care operations. Attendance, transportation, meals, client records, nursing records, reports, and insurance billing are included in the same subscription rather than split into paid feature tiers.

In the billing workflow, saving Attendance & Transportation Records creates the associated Pending claim, and units are calculated from the recorded times and the client’s Payment Type.

Electronic claim submission currently supports clearing-house connections named Availity and TMHP. The clearing house supplies its own credentials and may have separate commercial terms outside the ElderSuite subscription.

What the $299 rate does not mean

The ElderSuite price is not a quote for third-party services. Do not treat it as a statement about fees charged by clearing houses, payers, internet providers, remote-access vendors, or other outside services.

ElderSuite also does not process private-pay credit cards or ACH transactions, so payment-processing fees are not part of the ElderSuite subscription.

Data export is included, but it is not an “export everything” feature

ElderSuite provides two CSV data exports: Export Client Records and Export Claims. Other records use their own report, print, or document workflows.

Use the trial to decide whether the value fits the center

The useful comparison is not only the monthly number. During the free trial, test the workflows the center actually needs: client setup, attendance, transportation, nursing, meals, reports, claims, permissions, and document handling.
