How to Print the Attendance Calendar (Form ES3100) in ElderSuite
Print the monthly Attendance Calendar (Form ES3100) from Report Center Client Reports — one page per client with attendance times, units, and month totals.

📝 Overview
Attendance Calendar - Form ES3100 is the Report Center report that prints a one-month calendar for selected clients. Each page shows the month’s attendance days with pick-up and drop-off times, that day’s units, and the month’s unit totals.
Open Report Center from the ElderSuite main menu, select the Client Reports tab, and choose Attendance Calendar - Form ES3100. The Report Description reads “Monthly Attendance Calendar showing client participation dates, times, and unit totals.”
This report opens only from Report Center → Client Reports. It is not the weekly nutrition meal-count sheet (Daily Meal Count & Attendance - Form 1535 on Nutrition Reports), and it is not a list of clients with no attendance. ⚙ How It Works
1. Open the Report From Report Center
Open Report Center and select Client Reports. In the Report List, highlight Attendance Calendar - Form ES3100.
Click View Report, or double-click the report name. The options dialog opens as a dialog over the Report Center and keeps the Report Center busy until it closes.
2. Select One or More Clients
Open Select Client(s) and check each client who should get a calendar page. More than one client can be checked.
Only active clients appear in the list. Type while the dropdown has focus to jump to a matching name.
At least one client must be checked before Preview will run. If none are checked, ElderSuite shows that you must select at least one client before continuing.
3. Choose the Month and Year
Select Month and Select Year open on the current month and year. Leave them as they are for this month’s calendar, or change them for an earlier or later month.
The calendar covers one calendar month at a time. Each checked client who has attendance in that month gets one page. A checked client with no attendance in the month is skipped and gets no empty page.
4. Preview the Calendar
Click Preview (or press Enter — Preview is the default button).
ElderSuite builds one document with a page for each selected client who has attendance that month, sorted by search name, and opens it in Report Viewer inside the main ElderSuite window. The options dialog then closes. Print or save from the viewer.
Click Cancel (or the title-bar close control) to return to the Report Center without producing a report. This window only reads attendance; it does not change client records.
5. Read What the Calendar Shows
Each page header carries the provider name, the client’s search name, and the period (for example, August 2026). Day squares show pick-up and drop-off times and that day’s units. Below the grid, the page totals the month’s units and counts whole days (2 units), half days (1 unit), and losses (0 units).
Values on the page cannot be edited in Report Viewer. To change what prints, correct the times on Attendance & Transportation Records and run the report again.
✅ Important Limitations
One calendar month per run. Only selected active clients with attendance in that month get a page.
The report reads saved attendance and transportation times. It does not add, change, or delete attendance.
If every selected client has no attendance in the chosen month, ElderSuite shows No Records Found (“There were no records found for your client selection. Please try again.”), no calendar opens, and the client list resets to the full active list.
This is not Daily Meal Count & Attendance - Form 1535 (Nutrition Reports) and not the Client Absence Report. Form ES3100 shows attendance; it does not list absence dates.
If the ES3100 report template is missing on that computer, ElderSuite shows Missing Files and asks that ElderSuite be reinstalled.
⚠ Meals Without Attendance Times
Before the calendar builds, ElderSuite may ask about days that have meals recorded but no pick-up or drop-off times, and ask Do you want to print anyway?
Answer No to stop and leave your client, month, and year selections in place so you can enter times on Attendance & Transportation Records (or remove meals that should not be there) and click Preview again. Answer Yes to print now; those days appear as “No times” rather than blank squares.
